In this article, we look at an overview of the Matter Opening Tab in Unity® Practice Management.
Once you have created your purchase matter (see article: Purchase Matter: Opening a New Purchase Matter), you will continue on the Matter Opening tab to complete required information.
Document Profile
Unity will establish the Default Document Profile as the default, but you are able to change the document profile if required by clicking on the dropdown menu and locating the document profile of your choice, which you have created previously in account administration.
Access Groups
You are able to create access groups. Creating access groups in account administration will then allow you to assign those groups to various matters. Simply click into the dropdown and make your selection.
Matters are accessible to all users in Unity by default. Setting an access group prevents anyone who is not in this group from entering data into this matter. Other users will be able to open the matter, but they will be brought into a read-only view.
The law clerk and solicitor names can be established as defaults if you add those names to your personal details within your personal profile; otherwise, clicking into your dropdown will give you access to all of the law clerks and solicitors from which you can choose the appropriate individuals.
Witness Notary
Clicking into the drop-down gives you access to all users in your account who are notaries and commissioners.
Within Unity, you do have the ability to act on both sides of the matter. If you are only acting for the purchaser, make that selection. Otherwise, if you are able to act for both the purchaser and the vendor.
You are able to link to a matter and create your sale matter. In doing so, any relevant data added to your purchase matter will flow into your newly created sale matter and vice versa.
Date of Agreement
Enter in your date of agreement of purchase and sale by clicking into the calendar to help locate your date.
The closing date gives access to your calendar to enter in the closing date for this transaction.
You will notice that once you have your closing date in place, your requisition date will populate automatically.
Once the requisition date has populated, you will have an additional field when your requisition letter is submitted to be able to indicate.
Lockbox Code
Finally, the Lockbox Code field allows you to enter in the lockbox code for this particular property.
Real Estate Agent
Click into the dynamic search field and enter in the name of the real estate agent. If they have previously been added to your real estate agent database, they will immediately become visible. Otherwise, if they are new to your firm, you can simply select add new record and add this new real estate agent to your database and save.
Registration Method
The registration method is next and from here you can opt for electronic or manual. The default in Unity is electronic. The TerraView docket ID will automatically pull into your matter if you have established those configurations in your account admin area. Otherwise, you can manually type in your docket ID.
Jurisdictional Database
This is where you are going to enter in where it is that your purchaser is going to be executing their documents.
Simply start typing and your jurisdictional database will give you access to all entries within that database to choose from.
If you do know the date that your purchasers will be executing their documents, you can engage with your calendar and bring that information in.
Setting up the jurisdiction and date that your client will be signing their documents will automatically pre-populate into your statutory declarations.
