This article shows how to create an entity from scratch or using a template within Unity® Entity Management.
There are three ways to create a new entity record in Unity Entity Management:
- Create from scratch by clicking on New on the Dashboard
- Create from an Entity template by clicking on the Entities button and clicking on New and base it on a template (please connect with support for assistance in creating this template). We will be building out a detailed article with the steps included (coming soon)
- Duplicate an existing entity record.

IMPORTANT NOTE: If you are creating an entity and have named it Numbered Company for example as you have not yet filed your Articles of Incorporation, you will need to create the entity, add in the Incorporator as well as First Director, before going through the Workflow of formation otherwise, you will reach a certain point in the workflow and clicking on Incorporator will not show anyone. |
Creating an Entity Record
Follow these basic steps to learn how to create an entity record - note, the instructions below are based on creating an Entity from a template:
- Navigate to the Entities tab down the left-hand side of the screen;
- Select + New at the top right of the list of entities - a dropdown menu will appear, prompting users to make a selection.
- Select New > Entity from Template
- If you do not use a Template entity, you will need to create the share classes from scratch, along with the Minute Book tabs.
| Create Entity with AI is available to firms that have purchased AI credits. The AI is not generative and will not learn from you. It will extract specific data from documents such as Articles of Incorporation or Certificate of Incorporation etc |
Entity from Template
- Give the new entity a name such as "New Company"
- GENERAL TAB: Under General > Details > check that Creation Type, Entity Type, Jurisdiction are filled out
- COMPLIANCE TAB: Under Compliance > in the top right > Responsible Professionals > Add the responsible lawyer details.
- PRINCIPALS TAB: - Add the Principal and select Incorporator as the role as well as the address and set to CONFIRMED.
- PRINCIPALS TAB - 2: - You must add the individuals as the First Director so that they appear twice. in the principals' section of the new entity.

The Director role must look as follows:
- If you are not using the task method, finish adding in all of the applicable information for your new entity.
- If you wish to use a task for a formation > go to Tasks. To draft Articles of Incorporationgo > go to Tasks, either under the Entity tabs or under the Tasks menu.
- Add New
- Give the task a description such as Incorporation
- Under 'Type' select Formation
- Go to the Details tab
- Go to Formation on the left menu. Add in the dates, select if it is a numbered company or add NUANS details
- Select the Incorporator you added under Principals (if you did not add an Incorporator, save and go back to the Principals section as you won't be able to add the incorporator at this step)
- Supporting Documents: Select the Formation document. In my example, I selected 5351E (formerly Form 1)
- Click Create
- Generate Documents and fill in the prompts.
- Generate the documents. Change the task from New to Pending.
The documents can either be sent from here for signature via DocuSign, or opened under the Documents tab in the Documents folder on the left or you can use Unity® Sign for single documents.
| Any dates entered in manually need to be formatted as YYYY-MM-DD |
- Once the entity is created, it will be in the list of entities in the Entities tab.
- Select the entity record to access the profile of the entity
For Law Firms with Multiple locations:
Select the law firm location under the Compliance Tab.
Adding the Responsible Lawyer within your firm.
- Within the Compliance Tab, you can add the Responsible Professionals within your firm to each entity they manage.
