Orders
Q - How do I pay for an order?
When you register an account on our website (apicanada.com), placing an order will first place a pre-authorised HOLD in the amount of the order estimate. When the order is ready for you, the actual cost of the order is charged to your credit card when you click the "Complete Payment" button.
Q - What are the different status types on an order?
The possible status types are:
- New (You placed an order, but it has not yet been accepted or rejected).
- In Progress (Your order has been accepted and the Property Management company is working on it).
- Rejected (The Property Management company has viewed and rejected your order).
- Undertaking Required (The Property Management company has requested that you provide an undertaking letter).
- Undertaking Provided (You have sent the undertaking letter using the Undertaking section).
- Waiting for Payment (Your order is ready to be delivered and you must log in to complete payment).
- Waiting for Payment - Chargeable (The Property Management company can force payment for an unclaimed order).
- Payment Authorized (eStrataHub is verifying your payment before delivering the order).
- Payment Declined (Your payment could not be processed).
- Complete (Payment has been processed and the order has been delivered to your Order Details page).
- Expired (If a completed order is unresolved for any reason 60 days after the order's due date, the status changes to Expired. Nothing can happen to an expired order. A customer can't download it, and a property manager can't bill for it. At this point, it is a "dead" order.
Q - How long will the order last in the system after it is delivered?
All order information is kept indefinitely. You can always log in and view details from any of your orders.
Q - How do I receive my order, and what type of file is it?
You can download your order from a "Download Documents" button on the "Order Details" page after you click the "Complete Payment" button. Your order can be downloaded as individual PDF files or as a single combined PDF file containing all of the files provided by the Property Management company.
Q - When is a “Same Day” order due?
The same business day that it is received. (unless submitted after the cutoff hours) Then the same day is the next business day.
Q - Why Was My Order Rejected?
You can do either of the following:
- If the information you supplied on the rejected order was not correct you can place a new order with the correct information.
- Go to the "Messages" tab on the "Order Details" page of the order and send a message to the Property Management company.
- Contact the Property Management company directly. Their company name will be near the top of your "Order Details" page.
- Look for the Rejected Reason from the property management company in the Special Instructions section of the order.
Q - How long does it take to receive my order?
That depends. Some Property Management companies allow documents to be delivered immediately. Other Property Management companies manually fulfil your order, which could take minutes or days based on your requested due date and how busy the Property Management company is.
Once the Property Management company submits it for delivery, you will receive an email letting you know it is "Waiting for payment". After receiving an email from the eStrataHub system, you can review a summary of the order fees by clicking the Statement/Receipt button on your "Order Details" page. The "Download Documents" button will appear as soon as you click the "Complete Payment" button.
Q - I need to add another document or form to an order. What can I do?
Use the "Messages" tab on your "Order Details" page to send a request to the Property Management company requesting that they add the document to your order. This can only be done while the order status is not COMPLETED, REJECTED or CANCELLED.
Q - How do I sort my order list on the "My Orders" page?
You can sort by column by clicking on the header of the column that you wish to sort by.
Undertaking
Q - How do I know when I need to provide an undertaking?
eStrataHub manages the process of requesting and providing an undertaking. When the Property Management company requests an undertaking from you, you will receive a notification in your email informing you of the request. Then simply log in and access the order, and within the Undertaking Page you will be able to download the PDF to be signed and reattach it to send it back to the property manager in the same Undertaking section.
Q - My undertaking was rejected. What can I do?
Usually the Property Management company provides a reason for rejecting the undertaking and requires a change to the undertaking letter. You can resubmit the undertaking letter and the Property Management company will receive it just as with your original letter. If you have any questions you can always contact the Property Management company via the "Messages" tab on your Order Details screen.
Q - What happens when the undertaking is accepted?
You receive an email that tells you the undertaking has been accepted and the status of the order changes back to "In Progress".
Q - I sent an undertaking letter using the "Messages" tab, and the status is still “Undertaking Required” What should I do?
You should attach your undertaking letter using eStrataHub's "Undertaking" tab on your "Order Details" screen. This is where the Property Management company looks for the undertaking and when it is accepted, the system automatically updates the status of the order to "In Progress".
General FAQ's
Q - What is the difference between a Form B and Form F
The "Form B: Information Certificate" discloses information about a strata lot and strata corporation. It is typically requested by potential buyers. It contains information such as the monthly strata fee, any amount the owner owes to the strata, and much more. More details can be found on the Government of BC's website here.
The "Form F: Certificate of Payment" provides information on whether the owner of a strata lot owes money to the strata corporation. The Form F is required by the Land Title Office when transferring a strata property to a new owner. (When transferring a title, one has to submit declarations confirming one has a Form F showing no money owing to the Strata. These steps are to be completed by a lawyer/notary.) Q - When is a “+1 Business Day” due?
The business day after it is received. aka Next Business Day.
Q - What are messages?
Messages allow you and the Property Management company to send and receive information about the order. This provides a record of all communication for that order in one place. Messages can contain just text, a file or both.
Q - How do I know if I receive a message from the Property Management company?
You will receive an email notifying you that a message has arrived for an order. In addition to the email, the My Orders screen shows an envelope icon beside orders with unread messages. To view the message, click your Order Details button, and on the Order Details page, click the "Messages" tab above your order details.
Q - What are Standard Delivery Times?
The Strata Property Act dictates the standard delivery time for documents. The standard delivery time for the following documents is 7 Business Days:
- Form B
- Bylaws
- Rules
- Depreciation Report (if ordered along with a Form B)
The Form F is within 5 Business Days.
Note that the Strata Property Act 59(4) requires certain documents (if available) to be attached to the Form B Information Certificate.
The standard delivery time for all other documents is two weeks excluding weekends and holidays.
If the delivery of documents is requested earlier than the standard delivery times (considered a Rush Order) then Priority Fees may apply, as determined by the Property Management company.
Q - How does eStrataHub calculate Priority Fees (for a Rush Order)?
If you order a document and request the standard delivery time or later, no Priority Fees will apply. If you request an earlier delivery time, Priority Fees may apply.
Priority Fees are based on the number of business days from the receipt of the order to the delivery date you select. Orders submitted on non-business days, statutory holidays or after the Property Management company's cut-off time are considered received on the following business day.
Example A: If on Wednesday you order a Form B and a Form F (before the cut-off time that the Property Management company has set) to be delivered the following Wednesday, no Priority fees will apply. Because the standard delivery time for these documents is one week, only the statutory fees will apply ($35 for Form B, $15 for Form F, .25 cent per page fee (if applicable), $14.50 delivery fee for eStrataHub).
Example B: If on Wednesday you order a Form B and Form F to be delivered the following Monday, the Property Management companies Priority Fees will apply, in addition to the fees mentioned above. Priority Fees are based on business days (Saturday, Sunday and stat holidays are not counted). In this example, it is considered a three-day rush order.
Q - When I enter my Strata Plan number, why does eStrataHub say it is invalid?
eStrataHub follows the Land Title and Survey Authority requirement that every Strata Plan number have a 3 letter prefix (the system also accommodates four-character/five-number Federal and First Nations plan numbers). Those generally older properties without numbers must have prefixes added and you can find those prefixes by clicking the "Learn More" link after the "The Strata Plan must have a proper 3 or 4 letter prefix" text.
If you don't know the Strata Plan number, click the link to search by building name. In the pop-up window, start typing the name of the building, and a list of possible candidates will appear. If the one you want appears, click on it, and the Strata Plan field will be filled in for you.
Q - How will I know when my order is accepted by the Property Management company?
Two things happen when the Property Management company accepts your order:
- eStrataHub will send you an email
- The status on your "My Orders" list and on the "Order Details" page will change from “New” to “In Progress”
Q - Why would I want to use eStrataHub?

Q - Do I need Adobe Acrobat to read and print the documents in order?
To work with PDFs in order, you will need software that can read PDF files. We recommend Adobe Acrobat Reader or Acrobat Standard or Professional. You can also use any other software that can read PDF files.
Q - What does it cost to use eStrataHub?
For each order, eStrataHub/eCondoHub calculates the cost as follows:
Document Fees + Priority Fee (if applicable) + Per Page Fee (if applicable)+ Delivery Charge
Document Fees: the Strata Property Act of BC specifies how much a Property Management company may charge for forms and documents. Currently, a Form B costs $35, and a Form F costs $15. If a per-page charge is applicable, it will be $0.25.
Priority Fee: A property management company may charge a fee for a rush order. This is in addition to the document fees set out in the Strata Property Act of BC.
Delivery Charge: eStrataHub adds a $30.00 Delivery Charge per order. This is in addition to the document fee, priority fee (if applicable), and per page fee (if applicable), charged by the Property Management company.
Q - What are Priority Fees?
Priority Fees are the additional amount the Property Management company may charge for rush orders that are to be delivered earlier than the standard delivery times. Priority Fees are in addition to the applicable per page fees, form fees, and delivery fees. Priority Fees are established by the Property Management company and therefore may vary from one to another.

Q - Do you accept credit card payments?
Yes -- registration at https://account.apicanada.com/register is quick and easy. Once you have registered, you can pay for property documents with a credit card.
Q - How do I contact the Property Management company?
The best way to contact the Property Management company is to use the "Messages" tab on the "Order Details" page. This ensures that all communications become part of the eStrataHub order. In addition to "Messages", the name and the telephone number for the Property Management company is shown near the top of the "Order Details" page for each order. It is a good idea to confirm any verbal communications with a message so it becomes part of the eStrataHub order.
Q - What types of files can I send with a message through the "Messages" tab?
You can attach any type of file along with your message through the messages tab: Word documents, PDFs, spreadsheets, or images
