This article describes features of profile and shared addresses within Unity® Entity Management
Every Entity and People record can be entered as a Profile and/or Shared Address.
A Profile Address is an address that is specific to an entity, these include: Business, Billing, Delivery, Head Office, Mailing or Residential address. If additional address fields are not visible on the Overview Page within an entity record, click on the Edit Display on the top right of the page, next to Generate Summary.
A Shared Address is an address that is managed by a different entity but has a relationship to the current Entity or People Record. Agents or law firms will often share their address to be used by an entity for official purposes.
Shared Addresses
An Entity can link to the Profile Address from another central entity in the Shared address tab. The most common cases for this include Records Office, Registered Office, or a general Shared Address, to reference Agents, Accountants, etc.
1. Registered Office
The registered office is the place where the registry sends the annual reports as well as where directors of a corporation may send their notice of resignation. The registered office must be in the province where the entity is located or within Canada for a Federal corporation.
2. Records Office
The records office is the location where the corporation is required to keep its corporate records. The corporation's records office may be kept with a law firm so that the lawyers may certify information about the corporate records of the corporation.
3. Shared Addresses
Examples of shared addresses.
Law Firm: The law firm that maintains the records of an entity (records address). The law firm address will be shared by a number of corporations that use your law firm.
To add the lawyers from your law firm, add their details under the General > Compliance Tab.
Add Profile > Person
- Subsidiaries: Where there is a subsidiary of a parent company and it uses the same mailing, billing, and head office address as the parent company.
- Employer: If a person works for an Entity, connect the People Record to the Entity by creating a Shared Address and selecting the role Employer.
Accountant/Auditor: Add the person under the People tab. Within the tab, click on Associations and click on New in the top right corner. Add Other Professional, select the Entity and click ok. The address for the accountant can either be a profile address or a shared address. If the Accountant works with a number of entities, add as a shared address.
When adding the Role - select Accountant.
