Securities Registers and Ledgers are documents that show ownership information in a clean, easy-to-read format. These documents are generated in seconds, and can be added to the Minute Book from the Documents Tab.
When generating a Register or Ledger, it is possible to look back in time, to see how the ownership was arranged historically. By adding an As-At Date, the document generated will only include securities issued as of the date selected, or if left blank, the data will default to current data.
Navigate to the Securities section of the Entity, then select Ownership
- Click Generate to open up a dropdown list, and choose one of the following options to generate the document by:
- Cap Table
- Current Class
- All Classes
- Select Shareholders / Members / Partners
- The Supporting Documents window will appear and show all available Register and Ledger templates that can be generated
- Click on the As-At Date field to select a date for the generated document
Note: If the As-At Date field is left blank, the document will generate as of today's date - Select the Registers or Ledgers templates to generate by clicking the checkbox on the left
- If the template is in Word, but PDF is preferred, select the checkbox Convert Word to PDF
- Click Merge to generate the document(s)
- A blue pop-up message will display on the bottom right indicating Generating documents - You'll be notified when it's completed
- Once generated, a green pop-up will show stating Documents successfully generated
- Navigate to the Documents section to view the newly generated Register(s) or Ledger(s)
- Click on the document name to open and view the document in Unity Entity Management
- If the Document is in Word format, the open will appear in the top right to Open in Word Online where documents can be edited and saved immediately
- For additional options, select the document(s) by checking the box on the left-hand side, and then click on "# selected" dropdown at the top of the page. From here, it is possible to Convert to PDF, Move, Rename, Download, etc.
- To move the ledger into the Minute Book, select the document by clicking in the box to the left of the name.
- At the top, click on Selected, select Move, expand the Minute Books tabs and hover the mouse over the selected Tab and click on Move here and if needed adjust the Effective Date.
